WhatsApp Business app or API: which one your business needs and what it costs
September 21, 2026 · 5 min

WhatsApp Business app or API? If one or two people answer from their phones, the free app is more than enough. The API only pays off if you want an assistant to reply for you, share conversations between several people, or connect WhatsApp to your booking calendar. And it isn't free: you pay per message sent and, from October 1, 2026, also for replies beyond 1,000 a month.
What's the difference between the app and the API?
The WhatsApp Business app is the one you download to your phone. It's free, one person uses it, and it comes with the basics for a business: quick replies, a greeting message, an away message, labels and a catalogue.
The API (Meta calls it the WhatsApp Business Platform) isn't an app. It's a connection that lets a program send and receive messages with your business number. You get it through an authorised provider or directly from Meta, and it's the only official way to plug in an AI assistant, your booking calendar or your customer software.
Some tools promise to automate the regular app behind the scenes. They break WhatsApp's terms of use, and what you're risking is a banned number. For a business that lives on WhatsApp, that means losing the whole channel.
When is the app enough?
If the messages fit into the day of whoever answers them, the app is enough. With quick replies for the same five questions and an away message saying when you'll get back, a hair salon, a garage or a small school covers most of what it needs without paying anything.
When does the API pay off?
When the same question arrives dozens of times a day and you want an assistant to answer it with your real data (opening hours, prices, free slots), even at eleven at night. When several people handle the same number and step on each other. Or when you want appointment or payment reminders to go out on their own.
If none of that sounds like you, you don't need it. Setting up the API for a volume the app can handle is paying for something you won't notice.
How much does the API cost from October 2026?
Meta charges for every message your business sends (messages customers send you don't count), and the price depends on the country of the number receiving it. In Spain, according to the official rate card in force since July 1, 2026, a marketing message costs €0.0585 and a utility message (a confirmation, a reminder) €0.0166.
Until September 30, 2026, replying to a customer within 24 hours of their last message was free. From October 1, each business phone number gets 1,000 free replies a month, and the rest are charged at the same rate as utility messages.
In numbers: a business sending 600 replies a month still pays Meta nothing. One sending 3,000 pays for 2,000, around €33 a month, plus whatever the provider charges for its platform. Meta can change its rates on the first day of each quarter, so check them before you decide.
Frequently asked questions
Is the WhatsApp Business app free?
Yes. Downloading and using it has no per-message cost. Per-message charges only apply to the API (the WhatsApp Business Platform), which is what you use to connect automated assistants, calendars or customer software.
Can I put an AI assistant on the regular WhatsApp Business app?
Not officially. Assistants are connected through the API. Unofficial tools that automate the app break WhatsApp's terms of use and can get your business number banned.
How much does replying through the WhatsApp API cost from October 2026?
Each business phone number gets 1,000 free replies a month. After that, in Spain, they're charged at the utility rate, €0.0166 per message according to the official July 2026 rate card. A business sending 3,000 replies a month would pay Meta around €33.
Has Meta banned AI chatbots on WhatsApp?
Not business ones. Since January 15, 2026 it bans general-purpose AI assistants on the API, the ChatGPT-inside-WhatsApp kind. An assistant that serves your business's customers with your information is still allowed.
If you already know you want an assistant, the next step is automating WhatsApp without losing the personal touch.
