How much time manual quotes and invoices actually steal
July 20, 2026 · 3 min

How much time actually goes into making quotes and invoices by hand? It depends on the business, but for most of the small businesses we talk to it's 5 to 10 hours a week — more than a full workday spent on tasks that make no money.
Where the number comes from
Copying the same data from one quote to the next. Chasing invoices that haven't been paid. Manually checking whether a client already got a follow-up. Each task takes little time on its own — five minutes here, ten there — but it repeats every day, and by the end of the week it adds up.
The cost you don't see
It's not just the time. You pay for that time twice: once in hours, and again in what you don't get to do meanwhile — helping a client, closing a sale, or simply switching off.
You can see it with your own numbers in our savings calculator, plugging in your own staff and hours.
What changes when you automate it
The paperwork doesn't disappear — who does it changes. The quote generates itself from the client's details, the invoice goes out when it's due, and tracking who's paid and who hasn't happens without anyone opening a spreadsheet every morning.
Where to start
You don't need to automate everything at once. Start with whatever steals the most time and carries the least risk if something goes wrong — usually quotes or follow-ups — and you'll see the result within the first week.
If you're still not sure it's worth it after reading this, here are the signs your business is ready to automate
